Who are we and why are we telling you this?

Under our obligation to comply with the General Data Protection Regulation ((EU) 2016/679)). As Data Controller (as described by the GDPR), we will only use any personal information you provide to deliver the products and services you have requested from us and to meet our legal responsibilities.

How do we collect information from you?

We only obtain information about you when you contact us, or when you sign up to receive our newsletter using the form on our website. If you use our website we will also collect information about how you use the site (for example, which pages you visit) and we will log your IP address for security purposes.

What type of information do we collect from you?

The personal information we collect from you will vary depending on what product/s and/or service/s you engage us to deliver. If you visit our website, we will collect your IP address and the pages you visit on our site. Otherwise the personal information we collect will usually be limited to your name, email address, phone number/s, the company you work for and that company’s address and your position within that company. If you apply for a job with us, we will ask for additional information typical for job applicants, such as your work history and qualifications.

How is your information used?

Your data is processed under either the “Contractual” lawful basis – namely to enter into or fulfil a contract; or if you are a past customer or have registered to receive our Newsletter/Email, we process your data on the ground of “Legitimate Interest”.

In general terms your data is used for normal business purposes, namely:

  • To respond to an inquiry or to follow up on sales interest
  • Invoicing
  • Business communications by email, phone and fax
  • Raising work- and purchase-orders
  • Screening of potential employees

If requested, we will also use your email or company address to send you further information about what we do (our Newsletter/emails).

How long do we keep your data?

We will keep your data for as long as your company remains a client (unless you explicitly request that we remove it) and for an additional 6 years from the termination of a contract.

Who has access to your information?

The bulk of the data you provide is accessible only to relevant employees of CMB and selected Third Party Service Providers who support us in our day-to-day business. For example, interaction with our website and/or registration for our Newsletter/Email will expose selected elements of your data to a third party supplier (namely your email address and how you interact with our website). Similarly, limited information about you (your email address, name and company address) may be shared with our accounting partners and auditors who support us in fulfilling our legal obligations to you with respect to our contract. Details of our third party service providers are available on request.

Our website may, from time to time, contain links to and from the websites of advertisers and partners. If you follow a link to any of these websites, please note that these websites have their own privacy policy and that we CMB do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

How you can access and update your information

Keeping your information up to date and accurate is important to us. Please let us know if your company has a change of personnel, or if your contact details change.

Security precautions in place to protect the loss, misuse or alteration of your information

While we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Your data will only be processed in our offices, those of our third party suppliers and within secure data centres within the UK. We take the security of your data seriously and all of our systems have appropriate security in place that complies with all applicable legislative and regulatory requirements.

Your rights

Access to your information: You have the right to request a copy of the personal information about you that we hold.

Correcting your information: We want to make sure that your personal information is accurate, complete and up to date and you may ask us to correct any personal information about you that you believe does not meet these standards.

Deletion of your information: You have the right to ask us to delete personal information about you were:

  • you consider that we no longer require the information for the purposes for which it was obtained or that we no longer need to retain it in accordance with our statutory obligations;
  • you have validly objected to our use of your personal information – see ‘Objecting to how we may use your information’ below;
  • our use of your personal information is contrary to law or our other legal obligations.

Objecting to how we may use your information: Where we use your personal information to perform tasks carried out in the public interest then, if you ask us to, we will stop using that personal information unless there are overriding legitimate grounds to continue.

Restricting how we may use your information: In some cases, you may ask us to restrict how we use your personal information. This right might apply, for example, where we are checking the accuracy of personal information about you that we hold or assessing the validity of any objection you have made to our use of your information.  The right might also apply where there is no longer a basis for using your personal information but you do not want us to delete the data.  Where this right is validly exercised, we may only use the relevant personal information with your consent, for legal claims or where there are other public interest grounds to do so.
